EAST ASIA REGIONAL OFFICE

Oxfam America is an international relief & development organization with regional offices worldwide. Its mission is to find long-term solutions to global poverty & injustice. The East Asia Regional Office is currently seeking is currently seeking an effective & motivated individual to join the team as the Executive Assistant to the Regional Director.

SUMMARIZED PRIMARY REPSONSIBILITIES:
The position will include:

  • Confidential support to the Regional Director including maintaining the RD’s calendar and meeting schedule
  • Attend key meetings between the RD, OA staff, and/or external donors and allies. Take notes and prepare summaries and follow-up steps.
  • Make RD’s travel arrangements; coordinate travel agendas and prepare briefing materials and presentations for all trips.
  • Maintain RD’s electronic and hard copy filing systems.
  • Support RD’s participation in Oxfam International inter-affiliate working groups and teams. Coordinate with OI colleagues and prepare meeting materials.
  • With guidance from RD, write, edit and circulate key memos, reports, correspondence, and announcements for a wide variety of internal and external audiences.
  • Work with RD and other Oxfam staff on selected projects, including funding proposals, external briefs, and thought pieces. Research these selected projects and/or offer editorial feedback as needed.
  • Coordinate confidential Human Resources tasks for RD,
MINIMUM REQUIREMENTS

  • Bachelor’s degree (or equivalent) in Business administration or Development studies. Bilingual (Khmer and English). Knowledge of Vietnamese or Laotian will be an additional advantage.
  • Experience and Core Competencies:
  • Three years related work experience.
  • High proficiency in advanced administrative concepts, practices, and procedures. Ability to make sound independent decisions, judgment and use own initiative.
  • Excellent demonstrated written and verbal communication skills, including composing professional emails and writing for a variety of audiences. Ability to give and receive editorial feedback in a professional manner.
  • Ability to summarize and synthesize large amounts of information.
  • Demonstrated ability to multi-task and work on a wide variety of tasks simultaneously. Must be able to meet deadlines and stay organized in a fast-paced environment.
  • Strong research and analytical skills; imagination and creativity to find information.
  • Proficiency in the use of personal computers and related software applications, including Microsoft Outlook, Word, Excel, PowerPoint and other databases.
  • Collegial nature and ability to develop good relationships with multiple constituencies and work as a team member.
  • High degree of poise, judgment, discretion, and responsibility; ability to handle confidential information, ability to anticipate problems, and confidence to follow through.
  • Preferred:
  • Participation in a team based environment
  • Knowledge of human resources concepts, practices, policies, and procedures.
  • Knowledge of the field of fundraising and program planning;
  • Cross-culture understanding of how an international development agency operates, communicate well cross-culturally.
